Fees
Fees are always presented VAT included, if applicable.

VAT
Under EU Customs and Excise Regulations, delegates from all countries are required to pay VAT on any event taking place in the EU. Information on how to claim back VAT is available via the symposium secretariat.

Online Registration
After having completed the pre-registration form, you will receive an automatic email confirming its reception.

Your registration request will be reviewed and validated by the organisers within the next 10 days. A final registration confirmation will follow by email, including a pro forma invoice. This pro forma invoice will be established following the information you submitted during the pre-registration process. Please notify any corrections to your registration immediately. Payment is due within 30 days.

Any registration which has been confirmed by LD Organisation is considered a valid registration, unless cancelled within two weeks from the registration date. After this period, cancellation fees are due.

Collective remittances should always be accompanied by a list of names.

Participant Cancellation Policy
Substitutions may be made at any time, by advising the Symposium Secretariat (secretariat@ldorganisation.com) by written notice of any change of name. Cancellations should be sent by written notice to the Symposium Secretariat, and cancellation fees will apply as follows:

  • Cancellation notice prior to 60 days before the start of the event: registration fees will be refunded, less €125,00 processing charges.
  • Cancellation notice between 60 days and 30 days prior to the start of the event: 50% of the registration fees will be due.
  • Cancellation notice less than 30 days before the start of the event: no cancellation refund can be given

Exhibitor Cancellation Policy
Cancellations should be notified by written notice to the Symposium Secretariat. The following cancellation charges will apply:

  • Cancellation notice prior to 60 days before the start of the event: 50% of the total fees paid or payable by the Exhibitor
  • Cancellation notice between 60 days and 30 days prior to the start of the event: 75% of the total fees paid or payable by the Exhibitor
  • Cancellation notice less than 30 days before the start of the event: 100% of the total fees paid or payable by the Exhibitor

Any outstanding payments should be paid within 14 days of the cancellation confirmation email sent by the Symposium Secretariat.

Data Protection
LD Organisation, Scientific Conference Producer, (hereafter ‘LDO’) collects and processes your personal data (name, email address, job title, company, workplace) in the framework of your registration and your participation in this event, and to contact you about this and other events organised by LDO. LDO collects your personal information only to the extent necessary to fulfill the purpose stated. We have put in place measures to securely process your personal data in a confidential manner and will not divulge this information to third parties. You have the right to access, rectify and erase your personal data. You can exercise this right by contacting GDPR@ldorgansiation.com. We do not keep your personal information for longer than necessary for the purposes for which it is collected. Please check also our Privacy Policy for more details.

Programme
Statements made by speakers are their own opinion and not necessarily that of the organisation they represent nor of the organisers. Speakers and agendas are subject to change without prior notice, allthough the upmost will be done by the organisers to limit inconveniences of this type. Audiovisual taping is prohibited without prior written consent from the organisers.

List of Participants
To facilitate networking, the list of participants will be included in the book of abstracts. This list will be provided only to registered attendees, and will not be distributed outside the conference.

Pictures & Video Waiver
During the event, pictures and video footage might be taken by the organisers for future promotional use. By visiting the conference, you agree that these images may be used without your further approval and that you waive derived rights. Please note that taking pictures of the presentations shown on screen is strictly forbidden.

Liability and Insurance
Neither the Organisers nor LD Organisation will assume any responsibility whatsoever for any damage or injury to persons or property during the symposium. The participants are recommended to arrange their personal travel and health insurance.

In case of cancellation due to force majeure, LD Organisation will offer to the Delegates and Exhibitors a voucher to access the same or a similar event scheduled at an alternative date.

In the unlikely event that the Organising Committee shall deem it necessary to cancel the event, all pre-paid registration fees will be reimbursed. Neither LD Organisation, nor the Organising Committee shall be liable for reimbursing travel costs or accommodation arrangements made by individual delegates.

Applicable Laws and Competence
If no agreement can be reached, any dispute related to the commercial relation will be taken in charge by the exclusive competence of the Belgian juridiction.
